Corporate Secretary – Luxembourg

To support that and our exciting growth journey, we are looking to hire a highly skilled Corporate Secretary, who will ensure timely upwards and downwards information flows and central availability of decision logs, action logs and meeting material. You will be reporting to the Head of Governance and be a part of our growing Governance function, where you will work closely with our Legal department and the Business Heads and help them prepare and align the agenda with the Head of Legal and the Chairman of the Board, support board members and Authorized Management on ad hoc requests, and update policies, procedures, and other relevant internal governance documents.

Key Responsibilities

  • Ensure efficient running of the bank’s committees and board meeting and document the meetings
  • Take care of travel arrangements for the board members
  • Ensure meeting material is prepared timely and to appropriate standard
  • Ensure timely follow-up of open actions from the previous committees.
  • Responsible for preparing a monthly newsletter to the organization
  • Conduct training on internal/corporate governance matters to all employees.

Skills & Qualifications

To be the right candidate for this position, we expect you to have a demonstrated capability from an applicable role where you have several years of experience from a similar position.
You have strong time-management skills and an ability to multitask and manage competing priorities. Proven experience in working with internal controls and management reporting is a strong plus.

As a person, you have a fine attention to detail and strong communication and writing skills. You should be able to work under pressure and meet deadlines in a dynamic environment. Furthermore, you have the ability to work independently.

As Banking Circle is an international company it´s a requirement, that you are fluent in English both verbally and in writing. If you master other relevant languages it will be an asset.

The position will be based at Banking Circle’s Headquarters in Luxembourg.
